Hiring a Bookkeeper: What You Need to Know

Opening a private practice, I have had to build my practice from the ground up.  I have had to learn along the way and wanted to share with you some of the tips along the way.  It's crucial to find the right person for this vital role. I spoke with a colleague Dara Rodemack, who shared some tips from her time running a Bookkeeping program at a local community college.  She shared tips with me that would help someone in a similar position find a good bookkeeper to free us up to do what we love!

Bookkeepers play a key part in maintaining the financial health of your business, so it's essential to be diligent in your hiring process. Here are some important considerations to keep in mind when hiring a bookkeeper.

  1. Determine the Going Rate: The current market rate for bookkeepers depends on the scope of work required. Understanding this range will help you budget appropriately for this essential service.
  2. Going with an independent contractor vs. a business will save you money.  Agencies need to cover overhead vs. finding someone working remotely.  Consider the scope of work and needs to be accomplished.
  3. Software Compatibility: Inquire about the bookkeeper's familiarity with different bookkeeping software. It's important to ensure that their preferred software aligns with what you are using or are comfortable with. This will streamline the transition and collaboration process.
  4. Experience and Clientele: Before outlining your specific needs, ask about the bookkeeper's current client portfolio and the scope of work they handle for them. This will provide insight into their experience and whether it aligns with what you require. It's crucial to ensure that they have the necessary expertise to manage your financial records effectively.
  5. Establish Comfort and Trust: As a business owner, you'll be entrusting your bookkeeper with sensitive financial information. It's essential to establish a comfortable and trustworthy relationship with them. If you find it challenging to communicate openly and comfortably with a potential candidate, it may be best to explore other options.  In my own practice, it is important I receive communication, so I would be looking to make sure they mesh.
  6. Conduct Background Checks: Due to the sensitive nature of the information they will handle, it's advisable to request a background check as part of the hiring process. This step ensures that your bookkeeper has a clean record and can be trusted with confidential financial data, such as payments, invoices, and other sensitive information.

Hiring a bookkeeper is a significant decision for any business, and taking the time to find the right fit can save you valuable time and resources in the long run. By considering these essential factors, you can ensure that the bookkeeper you choose is not only competent but also trustworthy and compatible with your business needs.
